Here are some free websites you need to know:

  • Paperform to create a website that helps customers book appointments.

  • Gmail and Google Sheet to send mails and manager, of course!

  • AI image generator, in case you need to create your own logo for your shop.

  • Make.com to combine all those tools into one, working for you automatically.

I’ll also divide this into 3 stages for you to follow easily.

Stage 1: Create a booking form in AI Automation.

Ok, so now you need a booking form to streamline the appointment scheduling process and help customers easily access your services.

Step 1: Open Paperform

  1. Go to paperform.

  • First, you need to sign up.

  1. Choose the template you like.

  • There are so many templates here about booking forms, you can choose the template you like the most.

  1. Customize your own form.

  • For example, you may need elements like:

    • Email.

    • Name.

    • Time.

    • Customer’s demand (example: barber who cut your hair).

When it’s done, you can publish your form and check this.

  • You can also preview it in the box at the right corner of the screen.

Step 2: Create a Google Sheet

Data is gold, so I bet you don’t want to miss out, right? All you need to do is create a sheet in Google Sheet to store your customers information.

  1. Create a Google Sheet with 5 columns: Email, Name, Barber, Time and Status (don’t miss this one).

  1. Insert a drop-down list in the Status column with 2 options:

  • No show: when your customers can’t go to your shop.

  • Complete: when your customer has completed their haircut at the shop.

Step 3: Set-up sending email using AI Tool.

Customers sometimes forget their appointments, so you have to remind them by sending a confirmation email. You also don’t forget to check your email to get my AI news earliest.

  1. Open Make.com and create a new scenario.

  2. Add 3 modules: Paperform, Email and Google Sheet.

  • Make sure you run this module first to get data for your next step.

  1. Set up your mail

Now you can test it by filling out a booking form while running a scenario to check if the email and sheet update.

Stage 2: Using AI tools to create a review form

You want to know how customers feel after using your services, but you don’t want to call or message them manually. Let me show you how to send email automatically for them.

Create a new scenario in Make.com.

  • You need 2 modules: Google Sheet and Gmail.

  1. Add your sheet to the Google Sheet module.

  • Don’t forget to run this module first to gather data for the next step.

  1. Set up your review email

  • Here are my review email template, I’ll let you 'borrow' that.

  • But before you paste that, you need to do 2 things:

    • First create a new scenario for stage 3 then add a Webhook. Then copy the address it gives you.

  • Now you need to open ChatGPT or any chatbot to change the webhook before using it. Here’s a prompt I used.

I would like you to change the webhook of the email below to this: (insert the address you got from the webhook in scenario)

The email code is: (insert the review email I provided above).

  • The second thing you need to do is set up a filter. You don’t want to send a review email to customers who didn’t show up, right?

Stage 3: Navigate customers to your community automatically

To build your own community of loyal customers, why don’t you send a link to customers who leave a 5-star review for your shop? For 1-4 star reviews, you can give them a 5% off coupon for their next haircut — a second chance to impress them.

To do that, you can use your review mail above to add it.

Let me show you how to do that.

  1. Open the third scenario that you add a Webhook module.

  2. Add 2 more webhook modules and 1 Router module.

  • A module to direct customers who leave a 5-star review to your fan page, website, or any community link. In here, I’ll add AI Fire for example.

  • A final module to direct customers who leave a 1-4 star review to a coupon website. Just set it up like the module above, easy right.

    • You need to create two filters to ensure customers receive the correct links to your community or coupon website.
